Logistics Assistant
HR-Consulting on behalf of his client - International Federation of Red Cross and Red Crescent Societies/ Moldova Red Cross (IFRC/MRCS) is looking for a Logistics assistant.
Job duties and responsibilities:
Logistics
- To support in establishing/maintaining customer service working relations with all service users both from IFRC and externally.
- To assist in organizing the transportation, customs clearance, and other formalities for all in and outbound relief item consignments.
- To be proficient with Moldova customs regulations and procedures & liaise with local customs officials to ensure efficient clearance.
- To assist in raising Logistics Requisitions as required.
- To support the filing of documents in both physical and electronic folders.
- To support in timely communications with relevant other functions within the IFRC (finance, administration, operations, etc)
- To assist in local procurement of emergency relief and response-related commodities in compliance with the Federation standard procurement procedures and processes.
- To assist in the procurement of services for Operations, NSs and external parties ensuring compliance with the Federation's standard procurement procedures and processes.
- To assist in sourcing, evaluating, and selecting local suppliers
- To assist in following up with vendor invoices and sharing with relevant departments.
- Maintaining accurate and up-to-date supplier databases for supplies and being kept informed of local market conditions.
- To support in ensuring compliance with donor and audit requirements; keep all procurement files complete and up to date.
- To support in handling all inbounds shipments to IFRC/Moldova RC warehouses: by preparing the warehouses; ensuring all necessary documentation is received; storing the goods in a safe manner; by entering the information onto the warehouse management system LOGIC and follow-up files; and providing a good received notes to the relevant department.
- To support in organizing local labour to ensure a timely and efficient reception or/and dispatch of goods from the warehouses.
- To assist in carrying out quarterly stock takes of the warehouses and to provide support for the end-of-year financial stock take.
- To assist in maintaining the warehouse management system LOGIC with timely and accurate information.
- To fully maintain all files and information regarding warehousing matters
- To liaise and maintain timely communications with relevant other functions within the IFRC (Finance, operations etc.)
- To support in training and developing National Society staff, volunteers, and local staff employees, as required.
- To support in implementing and maintaining Federation standard practices in fleet management.
- To assist in ensuring correct vehicle usage procedures by delegation drivers as per the drivers’ rules and regulations.
- To provide support in testing, training of national fleet management staff, volunteers, and National Societies (NS)
- To support in maintaining, fleet files containing documentation with records of mileage, fuel, maintenance and repairs, accidents, and financial information.
- To support in ensuring all fleet documents are filled both electronic and physical files as per SOP.
- To assist in sending fleet wave offline monthly reports to the regional office.
- To ensure that vehicle service intervals are closely monitored, and that service is carried out in a satisfactory manner.
Requirements:
- 2-3 years of professional experience in general logistics and procurement, including warehousing, transportation, customs clearance
- Excellent communication skills (written, spoken, listening) in English, Russian and Romanian
- Ability to work toward tight deadlines and handle multiple tasks
- Advanced computer skills - working with Ms Word, Excel
- Valid driving license
