Office Manager (International company)

About the position:

The Office Manager is responsible for organizing and coordinating office operations, administrative duties and procedures to ensure organizational effectiveness and efficiency. The Office Manager will create and maintain a pleasant work environment, ensure high levels of organizational effectiveness, communication and safety.

Your areas of responsibility:
  • Organize office operations and procedures;
  • Address employees’ queries regarding office management issues (e.g. stationery, hardware and travel arrangements);
  • Organize the office layout and order stationery and equipment;
  • Manage contracts and price negotiations with office vendors, service providers and office lease;
  • Assist HR in the onboarding process for new hires regarding name tags, business cards, access cards and parking cards;
  • Liaise with facility management vendors, including cleaning, catering and security services;
  • Maintain the office condition and arrange necessary repairs;
  • Coordinate with IT department on all office equipment;
  • Manage incoming and outgoing mail/correspondence;
  • Ensure that all items are invoiced and paid on time;
  • Manage office G&A budget, ensure accurate and timely reporting to finance;
  • Ensure kitchen supplies and weekly snacks are timely stocked, invoiced and paid;
  • Maintain and update the monthly presentations with announcements of new joiners and staff birthdays etc.;
  • Creating, documenting and distributing administrative policies;
  • Maintain and manage the Health & Safety practices, committee and maintain the H&S manual.
Your qualifications:
  • Post-secondary education/degree/diploma;
  • 1-3 years of experience in a similar role at a growing company;
  • Knowledge of English at least B1;
  • Strong organizational and planning skills;
  • Ability to take initiative, problem solve, and make decisions within job scope;
  • Strong track record of customer service and effective people skills;
  • Good understanding of processes, policies and procedures required for supporting an organization;
  • Ability to work independently as well as collaboratively in a positive team environment.
